Regulatory compliance
This is where you track the company's legal obligations: who is in charge of each, by when, and whether it is done. The screen proposes the obligations that apply in your jurisdiction and you create a tracking record for each one.
1. The five figures at the top
«Total records», «Overdue» (due date passed), «Due soon» (within the next 30 days), «Completed» (with the compliance percentage, completed over total) and «In Progress».
They only count records created on this screen: for a company that has just started they are all 0 and the percentage is 0.0 %.
2. «Obligations that apply to you»
This is the list of legal obligations in your company's jurisdiction (ES in the demo: “Occupational Risk Assessment” and «Prevention Plan», both tagged «Mandatory» with their article of Law 31/1995).
The jurisdiction is changed in Company settings, “Compliance” tab. Below, «Upcoming regulatory deadlines» shows the deadlines of regulatory updates that have a date; if there are none it says «No upcoming deadlines».
3. Start tracking an obligation
1. Press «Track this» next to the obligation: “New Compliance Record” opens with the “Legal obligation” already chosen.
2. Enter the “Title”, choose the “Priority” (from “Critical” to “Very Low”), the “Due Date” and the “Responsible person”.
3. Tick “Mandatory requirement” if it is, and add “Comments” if needed.
4. Press “Create”. The record appears under «Compliance records» and counts in the figures at the top.
«Create compliance record», top right, opens the same form with no obligation chosen.
4. Find what is overdue
«Show filters» opens “Status”, “Priority” and two options: “Overdue only” and “Mandatory only”. With “Overdue only” ticked, the «Compliance records» table keeps only those past their due date: they are the ones counted in «Overdue» and in the dashboard's “Overdue Items” card.
5. Permissions
Creating and editing records needs edit permission. If your role does not include the compliance module, you will see “This module is switched off” when you open it: an administrator turns it on in Company settings, “Modules” tab.
