Extensions and extra fields
What one customer asks for only for itself is switched on per company, without changing the product for everyone else. From a company's view in «Tenant Management», the platform administrator enables extensions and defines extra fields for incidents, people and risk assessments.
1. Open the company's view
In «Tenant Management», search for the company by name, slug or email and click its row. The view shows, among others, the “Extensions” and “Extra fields” blocks. Whatever you change there affects only that company.
2. Enable an extension
“Extensions” lists the extensions included in this installation, with their key and version. The checkbox on the right enables one for this company: an “Extensions” group appears in its menu with the extension's pages and, if the extension provides it, a section at the bottom of records or on the dashboard. Other companies see nothing and cannot use it. Disabling it hides everything, but its data is kept and shows again when it is enabled again.
3. Define extra fields
In “Extra fields”, choose in “Record” whether the fields are for an “Incident”, a “Person” or a “Risk assessment” and click “Add field”. For each field give the “Key” (letters, digits and _, starting with a letter), the “Type” (“Text”, “Long text”, “Number”, “Date”, “Yes / No” or “List”, which asks for its “Options (comma-separated)”), the label in Spanish and English, and whether it is “Required”. Click “Save”: if something is not valid, the error appears under the field; if everything is correct you will see “Fields saved.”
4. Fill in the fields on the record
Once fields are defined, the incident, person or assessment record shows an “Additional information” section at the bottom, with each field's value or “Not specified”. “Edit” opens the form; required fields carry an asterisk and cannot be left empty. Users in Catalan, Galician, Basque or French see the Spanish label.
5. Who sees and who edits
Only the platform administrator defines fields and enables extensions. Within the company, any member sees the fields of incidents and assessments and editors fill them in; the fields of people are seen and filled in only by the company's administrators, like the rest of that record. A read-only user does not see the “Edit” button.
6. Change or remove fields
“Remove” takes a field out of the definition and its values are no longer shown. If you change a field's “Key”, the values saved under the previous key are no longer shown either, so change it only on new fields. A person's fields are personal data: they are included in that person's data export and deleted if their right to erasure is exercised.
