Deliverables

Deliverables are the documents your prevention service sends you to read and then accept or sign: a risk assessment, the preventive planning, the annual programme or the annual report. Here you see which ones are pending and record that you have received them.

1. What is on the screen

Under the title “Deliverables” is the list of what you have been sent. If there is nothing yet, it says “No deliverables”; below it is a link to “Information for workers”.

When there are deliverables, four cards appear that filter the list: “Overdue” (the deadline has passed), “Unread” (you have not opened them yet), “Pending” (still to be accepted or signed) and “Accepted” (accepted or signed). Each row shows the title, the type, when it was sent, how many people have replied if it has several recipients, its state and the deadline.

2. Accepting or signing a deliverable

Press a row to open it. At the top you see the type, when it was sent, the deadline, the recipients and who sent it.

1. Press “Download the document” and read it.

2. Tick “I have read the document and accept it on behalf of the company.” If the deliverable asks for a signature, first type “Your full name”.

3. Press “Sign” (if it asks for a signature) or “Accept”. The prevention service sees it accepted as soon as you do.

Only company administrators accept or sign. “Acknowledgement report” downloads the record of who received, accepted or signed it and when.

3. The states

Each deliverable goes through “Sent”, “Read” (when you open or download it), “Accepted” or “Signed”. “History” shows each step with its date and “Document fingerprint” identifies the exact document that was sent, so it cannot be changed without being noticed.

4. Information for workers

The link “Information for workers” opens a screen where you choose a “Job position” and press “Send to the workers”: each worker in that position receives the information on their risks, the prevention measures and the emergency instructions, and confirms it with their own link. Afterwards you see “Links for each worker” and who has confirmed.

5. If you are on the prevention service

Prevention service staff see “Send a deliverable” on the screen. Choose what to send (an assessment or a company document), the title, the deadline and whether a signature is requested or accepting is enough. On a pending deliverable they can use “Send a reminder” and “Sign by link”: a link is created for the person who must sign and has no goPrevina account; the link is shown only once.
