Client invoicing
Here you issue the invoices charged to the client companies. It does not include what is paid to goPrevina: that is under “goPrevina invoices”. The screen has five tabs: “Invoices”, “Client invoicing details”, “Prices and tax details”, “AEAT and payments” and “Accounting export”.
1. The cards and the invoice list
In “Invoices”, each card counts the invoices in one status and, when pressed, filters the list: “Overdue” (issued, past their due date and still unpaid), “Rejected by the AEAT” (the AEAT refused the record or the submission failed), “Awaiting payment” (issued, not yet due) and “Drafts”. An invoice is in one status only, so the figures never overlap: an overdue invoice that the AEAT rejected counts under “Rejected by the AEAT”, because it has to be fixed first. “Paid” and “Closed” (credited, voided and credit notes) are filters under the search box. The list shows 20 per page, searches by number or company, and the filter stays in the page address.
2. Creating drafts
Press “New invoice” for work outside the monthly run: pick the company and the concept (the price comes from your rates) and the draft opens. Under “More” there is “Create the month's invoices”: it creates one draft per agreement in force, with a twelfth of the fee (prorated by days if the agreement starts or ends mid-month) and the medical exams done that month. A month already generated is not repeated.
3. Issue, collect, credit and void
Open an invoice by pressing its number in the “Number” column. The “⋯” menu on each row lets you issue it (it gets its number and its VERI*FACTU record is chained; it cannot be edited afterwards), download the PDF, mark it as paid, credit it or void it. Crediting and voiding ask for a reason in a dialog; “Void” is only for an invoice issued by mistake and unpaid. Delete exists only for drafts and asks for confirmation.
4. Rates, client data and the AEAT
“Client invoicing details” opens each company in a side panel: tax ID, address, collection method and SEPA mandate. “Prices and tax details” holds the issuer data, the series and the price of each concept; if you change something and leave without saving, the screen asks first. “AEAT and payments” shows the certificate, the environment (test or production), the record queue and the Mollie account. Only the director changes rates, certificate and Mollie; the back office sees the rest.
5. Export to accounting and AEAT submission
In “Accounting export” you choose the year and download the invoice CSV or the issued-invoices register in the AEAT format. Pending records are sent automatically; “Send to the AEAT now”, under “More”, brings it forward (the AEAT asks to wait between submissions). Overdue invoices and those rejected by the AEAT also appear in “My work”.
