Workplace analyses
Here you visit a job position, capture photos and video, and from that material the AI drafts a risk assessment proposal that the technician reviews before anything is created. The list shows the analyses done, with their number of files and their state.
1. The three buttons and the list
“Site-visit mode” opens the guided visit, designed for a phone on the shop floor. “New analysis” opens a short form right here. “Review a report” is for reviewing a report you already have written.
Below, each row is an analysis: the position, how many files it has (for example, 3 files) and its state: “Proposed” (the proposal awaits your review), “Validated” (the assessment that came out of it is approved) or “Published” (the course has also been generated). Click the row to open the analysis.
2. Doing a full visit
1. Click “Site-visit mode”. The visit has seven steps: “Position”, “Machines”, “Interview”, “Context”, “Material”, “Analysis” and “Review”.
2. In “Position” type which position you are visiting and click “Start the visit”. In “Machines” link the position's equipment; in “Interview”, the tasks, the time spent on each and what the worker says he does; in “Context”, noise, fumes, adjacent machines, shifts and exposed workers.
3. In “Material” use “Take photo” or “Add from gallery / video”. Film the workstation, not the people: the material may end up in the training video. Without at least one photo or video you cannot continue.
4. Click “Analyze the visit”. You can put the phone away: the app notifies you when the proposal is ready.
If you only want to upload material, “New analysis” asks for “Job position” and “Visit notes (optional)”; “Open analysis” creates the analysis and opens it.
3. Reviewing and confirming the proposal
When you open a “Proposed” analysis you first see “What the analysis was built on” (machines, context and tasks) and then “Proposal review”. None of that is a record yet.
Keep, edit or discard each risk, preventive measure and PPE requirement, and add what the AI did not see. Answer the checklist items that were left unseen.
Click “Confirm as draft evaluation”: the risk assessment is created, as a draft, with what you kept. “Discard” deletes the analysis and all its files.
4. Validating, generating the course and delivering
In the analysis's “Validation” block, click “Submit for review”. When an approver approves the assessment, the analysis becomes “Validated” and the course is unlocked.
In “Training and deliverables” you generate the position's course (modules, presentation and a narrated video, assembled in the background), the report per machine, the printable position sheet and the complete pack. Once the course is generated, the analysis becomes “Published”. “Assign to workers” hands the course out to the workforce.
5. The next evaluation of a position
Validated or published analyses show “Next evaluation”. Clicking it unfolds “Substantial change”:
- with “None (periodic)”, “Start periodic” opens a periodic evaluation with the machines, context and confirmed risks of the previous one;
- if the machine has been modified, extended or relocated, choose that change and click “Restart as initial”: machines and context are kept, but the risks are evaluated again from new photos.
6. Reviewing a report, and permissions
“Review a report” asks for a PDF with text or a Word file (.docx) of up to 50 MB and returns what it lacks against the RD 1215/1997 checklist and the legal catalogue: points not covered, obligations without a citation and expensive measures with a cheaper alternative. It creates no risks or assessments.
Opening, confirming or discarding an analysis requires write permission; without it “Next evaluation” does not appear. Approving the assessment is done by an administrator or the owner.
