Personal Protective Equipment
This is where the company's PPE store is kept: what there is and how much is left, who each item was handed to, which periodic inspections are due and what is about to run out or expire. The screen has four tabs.
1. “PPE Inventory”
This is the tab that opens. At the top: “Total PPE”, “Out of Stock”, “Low Stock” (below the minimum you set) and “Expiring Soon”.
The list has the columns “Item” (name and code), “Type”, “Location”, “Stock Status” (for example “In stock” with the available units over the total, such as 10/12) and “Expiry”. “Filter” narrows the list by type or stock level.
“Scan QR” opens the camera: reading a PPE item's QR label opens its page. Under “Actions” you can print each item's QR label or delete it.
2. Adding a PPE item
1. Click “Add PPE Item”.
2. In “Basic Information” fill in “Code”, “Type” (head, eyes, hearing, respiratory, hands, feet, body, fall arrest or other), “Name”, manufacturer and model.
3. In “Inventory” give the “Total Quantity”, the “Minimum Stock” and the “Reorder Point”, and where it is kept.
4. In “Lifecycle” enter the purchase date, the “Expiry Date” or the useful life in months. Leave the low-stock and expiry alerts ticked if you want them to warn you. Click “Create PPE”.
3. Issuing and returning PPE
1. Open “PPE Assignments” and click “Assign PPE”.
2. Choose the item, the worker, the quantity, the condition when issued and, if the item comes back, the expected return date. Click “Assign”: available stock goes down.
3. The assignment appears under “Active” with who issued it and whether the worker has “Acknowledged” it. An expected return that passes its date shows as overdue.
4. When the worker returns it, click “Return” and note its condition; the assignment moves to “History”.
4. Inspections and alerts
In “PPE Inspections”, “Schedule Inspection” sets the periodic check of an item (a harness, for example) with its inspector and date; the tab separates “Scheduled” from “History”.
“PPE Alerts” gathers what needs action: low or no stock, items expiring or expired, and inspections due or overdue. Each alert takes you to the item, to reorder it or to schedule its inspection; when there is nothing, it says “All clear”.
5. Permissions
Adding, issuing, returning or inspecting PPE requires write permission. This screen belongs to the People and training module, open by default to editors and administrators; a read-only user sees the notice “This module is switched off”.
