Psychosocial Risk

Here psychosocial risk assessments are organised with a questionnaire (COPSOQ-ISTAS21 and others), answers are collected anonymously and the risk traffic light per dimension is obtained. The demo has none: the screen says “No psychosocial assessments yet.”.

1. Creating an assessment

1. Click “New Assessment”.

2. Type the “Title” (for example, annual psychosocial assessment) and choose the “Methodology”: “COPSOQ-ISTAS21”, “HSE Management Standards”, “FPSICO 4.0” or “Custom”.

3. Under “Target population” choose who it is for (“All employees”, a department, a job role) and the “Workplace Center”.

4. Give the “Expected participants”, the “Min. group” (below that number of answers a group is not shown, so nobody can be identified) and how many days the data are kept. Leave “Anonymous response collection” ticked and click “Create”.

2. Collecting the answers

From the assessment's detail, under “Send the questionnaire”, choose the recipients (all staff, a site or a department) and click “Send by email”: each person gets a single-use code and a link. For people without email, “Generate codes” gives a list to print and hand out; it is shown once.

Answers are given on the public page /encuesta, without signing in. The app does not keep which code went to whom, and the answer is stored with no user, no time (only the day) and no audit entry, so nobody can know who answered what. Each code works once.

The detail shows how many codes were handed out and how many were answered, without names. The assessment goes through “Planning”, “Data collection”, “Analysis”, “Action plan” and “Completed”; the last two no longer accept answers.

3. Analysing and acting

1. With enough answers, click “Analyze”. The page shows the “Overall risk” and the score of each dimension out of 100, in green, yellow or red. A dimension with fewer answers than the minimum group appears as “small group” and without a score.

2. Below, “Priority actions” lists the red dimensions, which are the ones to address first.

3. Click “Analyze” again if more answers come in: the analysis is updated.

4. Permissions

Creating, editing, analysing or deleting assessments requires write permission; deleting an assessment also deletes its answers. By default the prevention module is open to editors and administrators; a read-only user sees the notice “This module is switched off”.
