Technical visits

Here are the prevention service's visits to this company. Each visit is planned, done on site from a phone, ends with a report signed by the company and by the technician, and its findings become measures in the planning.

1. The list and the year's activity

Each row is a visit: subject, date and time, purpose and technician, with its status: “Planned”, “In progress”, “Awaiting signatures”, “Signed” or “Cancelled”. If it has findings, the row says how many. Tap the row to open the visit.

Above it, the year's “Activity” block adds up the “Hours spent” and the “Visits done”. If the company has an agreement with its prevention service, what is contracted appears, with a warning past 80 % or at 100 %; without an agreement, the block says there is nothing contracted to compare with.

2. Plan a visit

Tap “Plan visit”. Write the “Subject of the visit” and choose “Purpose”, “Speciality”, “Workplace” (optional), “Date and time” and “Planned duration (minutes)”. Saving opens the visit.

The prevention service's technician can also plan it without entering the company, from “My agenda”, choosing the company in the form.

3. On site

On a “Planned” visit, choose whether you want a “Checklist” from the inspection templates and tap “Start visit”. If you chose one, “Open the checklist” takes you to the inspection created for the visit.

In “Findings” describe what you found, its “Priority”, the “Person responsible at the company” and the “Deadline”, and tap “Add finding”: a measure is created in the company's planning at the same time. Leave the person responsible empty and you are the person responsible.

“Take or upload photo” opens the phone camera. In “Linked records” you link inspections, risk assessments and noise, lighting or vibration measurements that already exist in the company; they are not copied.

4. Finish and sign the report

Write the “Work done and observations” and tap “Finish visit”. The time spent on site goes into the technician's hours by itself.

The visit is now “Awaiting signatures”. In “Signatures”, the company representative writes their name, position and email and taps “Sign for the company”; the technician taps “Sign as technician”. You can sign with a finger or by typing the name. With both signatures the visit becomes “Signed” and the PDF report is stored in the company's documents.

5. Delivery, cancelling and permissions

In “Visit report”, “Download report” gets the PDF; before both signatures it is a draft. Once the report is signed, “Send to the client” emails a link to the report to the address given.

“Cancel visit” asks for the reason and is only possible while the visit is planned or in progress. Only a company administrator can “Delete visit”, which also deletes its time, photos and report. Planning and doing visits needs write permission.
