Inspections

Here safety inspections are scheduled, carried out on the floor by answering their checklist, and their result is consulted: the compliance score and what was found non-compliant.

1. The figures and the list

At the top: “Total”, “Pending” (scheduled and not yet done), “In Progress” and “Completed”.

The list has the columns “Name”, “Status”, “Date”, “Inspector” and “Compliance”. The status is “Scheduled” (to do), “In Progress”, “Passed” or “Failed”. “Compliance” is the percentage of compliant items; for an inspection not yet done it says “Not completed”.

“Filters” narrows the list by status or template and “Export to Excel” downloads it.

2. Scheduling an inspection

1. Click “New Inspection”.

2. Choose the “Template”: it defines the questions to be checked (for example, a plant safety inspection, a scaffolding inspection or an equipment and machinery inspection).

3. Fill in “Name”, the “Inspector” who will do it, the “Location” (site, department and area) and the “Scheduled date”. Click “Create”.

The inspection appears in the list as “Scheduled” and counts under “Pending”.

3. Carrying out the inspection

1. On the row of a scheduled inspection click “Start Inspection”.

2. Answer each question of the template, grouped in blocks (evacuation routes, fire protection, electrical risk…): “Correct”, “Incorrect” or “N/A”, or “Pass” / “Fail” depending on the question.

3. If an item is not compliant, describe the “Corrective Action” to be taken.

4. When you finish, sign the inspection and click “Complete”. It becomes read-only.

4. Reading the result

Click a completed inspection to see its page. “Compliance Score” is the percentage of compliant items; it passes with the minimum it shows (for example, 80 %). Below are the number of compliant, non-compliant and N/A items, the “Findings” and the answer to each question.

From the page you can “Export PDF” or “Print” the record; “Edit” changes the general data and “Delete” removes it.

5. Templates and permissions

The questions of each type of inspection are defined in Inspection Templates, which only administrators see.

Scheduling, carrying out or deleting inspections requires write permission. By default the inspections module is open to editors and administrators; a read-only user sees the notice “This module is switched off”.
