Import a BeSMART Safety Statement

If your company in Ireland already has a Safety Statement made with BeSMART.ie, here you bring its hazards, controls and actions into goPrevina without typing them again. It is only for companies under the Irish jurisdiction; for any other, the screen says so. BeSMART records yes or no answers only, so the imported risks have no rating.

1. How to start

Open “Risk Assessments”, click “More” and choose “Import from BeSMART”. In BeSMART.ie download your Safety Statement as RTF or PDF; on “Import a BeSMART Safety Statement” click “Upload RTF or PDF”. Artificial intelligence reads the file, so it can take a moment; nothing is saved yet.

2. Review before saving

“Review before saving” shows the company, the BeSMART business type and, if one matches, the goPrevina sector template. Below, “Hazards and controls” lists each hazard with its activity, who might be harmed and the controls in place (one per line), and “Further actions” lists each action with its owner and due date. Untick what you do not want to bring in and correct what was misread. Every hazard carries the tag “Needs a risk rating”. The save button counts what will be saved: “Save 4 hazards and 3 actions”.

3. After saving

“Statement imported” says how many assessments, risks and actions were created and how many items could not be saved. Nothing is approved: with “Open the risk assessments” you open the new assessments and rate each risk before approving them. “Generate the goPrevina Safety Statement” creates the company document from the legal template (Safety, Health and Welfare at Work Act 2005, section 20) and opens with “Open the document”.

4. If it does not work

“Only RTF or PDF files from BeSMART.ie are accepted”: use the file downloaded from BeSMART.ie. “No text could be read from the file”: a scanned PDF has no text; download the RTF or the PDF again. “No hazards were found in this file”: check that it is a Safety Statement. “The statement could not be read right now”: try again in a moment. Importing and saving need write permission.
