DSE workstations

For the health and safety lead of a company in Ireland or the United Kingdom: who has completed the display screen equipment (DSE) workstation self-assessment, which findings are still open and who has asked for an eye test. It does not exist for companies in other countries. Legal basis: in Ireland, the Safety, Health and Welfare at Work (General Application) Regulations 2007 (S.I. 299/2007), Part 2 Chapter 5 and Schedule 4; in the UK, the Health and Safety (Display Screen Equipment) Regulations 1992.

1. What is on the screen

“DSE workstations” lists every active employee who has an account. The cards “Not completed”, “Open findings”, “Full assessment needed” and “Eye test requests” count and filter the list; the search box finds a person by name. The columns are “Person”, “Self-assessment” (date of the latest), “Findings” (for example, “2 found, 1 open”), “Eye test” and “Next eye test”. The “⋯” menu of each row holds the actions that apply to it. If nobody has an account, the screen says “No employees with an account yet”.

2. Findings and the full assessment

Each “No” to a requirement of the questionnaire (or “Yes” to discomfort) is a finding and creates a corrective action in action tracking, with the text the worker sees. If the findings call for a full ergonomic assessment (an unstable chair, a worker who reports discomfort, or five findings or more), the person shows “Full assessment needed”: choose “Open full assessment” in the row menu and the assessment opens in Ergonomic Assessments; the row then offers “Full assessment opened”, a link to it. The answer about discomfort is not shown here and is not written in the action title.

3. Eye tests

A worker who uses a screen can ask for an eye test; the request shows as “Requested” under “Eye test”. In the row menu choose “Approve” or “Decline”. After the test, choose “Record the test”: give the “Test date” and the “Optometrist or provider”, and tick whether the employer pays for special corrective appliances. Do not record the result of the test: the application keeps only that it was done and works out the date of the next one, shown under “Next eye test”. The row changes to “Completed”.

4. Privacy and the worker's self-assessment

Workers complete the self-assessment from their own space, under “My DSE workstation” (its guide explains how). Only people with an account appear here. This view shows completion and workstation findings, never the answers to the questionnaire or the result of an eye test.
