Preventive Measures
This is where each preventive measure is followed until it is done: who has it, by when, how much is done and whether it worked. Each measure is linked to the risk or assessment it came from.
1. The header figures
“Total Measures” counts them all. “Completed” are those in completed status and “In Progress” those being carried out. “Overdue” are those past their due date without being completed: they are the first to look at, and they also appear in “Priority Actions” on the Prevention Dashboard.
2. The list of measures
The columns are “Preventive Measures” (title and description), “Status”, “Priority”, “Responsible”, “Due Date” and “Progress” (percentage done). The list is sorted by due date, nearest first.
The statuses are “Planned”, “In Progress” and “Completed” (also “On Hold” and “Cancelled”).
“Filters” narrows the list by status, type, priority, responsible person or creation or due dates. “Export to Excel” downloads the measures loaded in the list. Click a row to open the measure; the bin under “Actions” deletes it.
3. Creating a measure
1. Click “New Measure”. “Create Preventive Measure” opens.
2. Fill in “Title”, “Description” (the “AI draft” button proposes a text from the title), “Type” (“Organisational”, “Technical”, “Training”, “Corrective” or “PPE”) and “Priority”.
3. In “Assignment and Timeline” choose the “Responsible User” and the “Due Date”; optionally the start date, next review, hours and cost.
4. In “Additional Information” link it to its “Associated Risk” and “Associated Risk Assessment”, and where relevant to a “Related Chemical”. Click “Save”.
4. Moving a measure forward and completing it
1. Open the measure. At the top you see its status, its priority and its progress.
2. In “Action Plan” add, with “Add Action”, the tasks needed to complete it.
3. In “Evidence” upload, with “Upload Evidence”, the proof that it is done (a photo, an invoice, a report).
4. With “Edit” change the status to “Completed”. The measure no longer counts as overdue and, if it was on the Prevention Dashboard, it leaves its list.
5. Once completed, “Verify Effectiveness” records, with 1 to 5 stars and notes, whether it reduced the risk.
5. Permissions
Creating, editing or deleting a measure, or uploading evidence, requires write permission; the responsible person can be any user of the company. By default the prevention module is open to editors and administrators; a read-only user sees the notice “This module is switched off”.
