Workforce

«Workforce» is the list of everyone who works at the company, whether or not they have an email address or an account in the application. It is where the people you pick when enrolling someone in training, issuing PPE or recording an incident come from.

1. The figures and the table

Three cards: «People» (active in the workforce), «Without a login» (no account to sign in to the application) and «Can sign in» (those who have one). In the demo: 9 people, 6 without a login and 3 who can sign in.

The table has «Name», «Position», «Workplace», «Identifier», «Email» and «Signs in». «Signs in» says Yes if the person has already signed in with their account, Invited if an invitation was sent and not yet used, and No if they have no account. The search box filters by name or identifier.

2. Add or import people

Click «Add person». Only the “Name” is required; most of a workforce has no company email. You can fill in “Position”, “Catalog position (optional)”, “Workplace”, “Identifier” and “Email”, and click “Save”. Linking the catalogue position lets that position's evaluation and course reach this person.

To add many at once, «Import» opens the people importer for a spreadsheet.

3. Edit, remove and see competencies

Each row has three icons on the right. The medal opens the person's “Competencies”: which they hold, their level, the certificate they came from and whether they are valid or expired, and lets you “Grant a competency”; only the owner and administrators see it. The pencil opens “Edit person”.

The red “Remove” icon takes the person off the workforce and out of the lists for picking someone, but does not delete them: their record is kept as inactive, with their PPE deliveries, training attendance, certificates, competencies and incidents. It asks you to confirm first and tells you how many records they have.

4. Give access to the application, and who sees what

This screen does not create accounts. For someone to sign in, invite them with their email from «Team» (in the left-hand menu); until they sign in for the first time, their «Signs in» says Invited.

«Import», «Add person» and the icons on each row only appear to users with edit permission; everyone else sees the list without actions. If your role does not have the People and training module, you see “This module is switched off”.
