Absence triggers

“Absence triggers” suggests referring a person to occupational health when their absences reach the limits your company set. A suggestion holds dates and counts only, never the cause of the absence.

1. When a trigger fires

There are two triggers. Long-term: an ongoing absence reaches the number of days set. Frequent absence: a person has the set number of absences inside the period. In Ireland and the UK the starting values are 28 days, and 3 absences in 6 months. The absences are checked every day and each situation raises one suggestion only.

2. Changing the limits

Press “Trigger settings”. Enter the days for long-term absence, and the number of absences and the months for frequent absence, or clear “Suggest referrals from absence” to switch them off. A zero leaves that trigger out. Only a company administrator can save the changes.

3. Who is told

The health service staff and the person's line manager receive a notification. Every suggestion appears in the list; “Pending” counts those nobody has decided yet.

4. Deciding what to do

Open the suggestion. The health service presses “Open an occupational health case”: the case is created with source “Absence trigger” and the suggestion moves to “Case opened”. A manager uses “Refer through the manager”, which opens the referral form of their team. If nothing is needed, choose “Dismiss”: the suggestion does not come back in the same period.
