Training

In «Training» you add courses, schedule their sessions, take attendance and issue certificates. It opens on the «Courses» tab; the other tabs show your sessions, workforce compliance, the calendar, attendance, certificates and competencies.

1. The figures and the course list

At the top are four cards: «Total Courses», «Mandatory», «Upcoming Sessions» (scheduled sessions that have not started yet) and «Active Certifications» (issued certificates still valid). A freshly seeded demo has 6 courses, 5 mandatory, and no sessions or certificates.

Below are the search box and the table with «Course», «Type», «Duration», «Instructor», «Next Session» and «Certificate validity». The type is a coloured badge (Mandatory in red, Certification in purple). The red triangle next to the type means the course is required of the whole workforce: that is why «Mandatory» counts 5 although only two courses are of type Mandatory. Click a row to open the course.

2. Create a course

Click «Add Course». “Course Code”, “Course Title”, “Description” (the “AI draft” button suggests a text), “Training Type” and “Duration (hours)” are required. You can add the instructor, location, “Maximum Participants”, workplace, department and area, a related chemical and the “Required PPE”. If the course certifies something that expires, tick “Issues Certificate upon completion” and set the “Certificate Validity (months)”. Save with “Create Course”.

The course page has “Edit”, “Delete”, “Assign workers” and “Documents / materials” (“Attach”). If the course came from a workplace analysis, it also shows its modules, lessons and questions.

3. Schedule a session and take attendance

Click «Schedule Session» on the course row. The form asks for “Session Title”, “Instructor” (one of the company's users), start and end date and time, and “Maximum Participants”; location, room and online link are optional.

In the session, “Add Participant” searches the Workforce, so you can enrol people who have no account. “Start Session” sets it In Progress; then you tick each attendee with “Mark present”, or show the “QR Code” so each person records their own attendance. “Complete” closes the session and “Notify All” alerts the attendees.

4. Certificates and missing mandatory training

Once the session is completed, “Issue certificate” (or “Issue all certificates”) issues one to each person present, with or without an account. If the course grants competencies, the person receives them when the certificate is issued.

The «Compliance» tab shows who is missing training. A mandatory course is required of every active person in the workforce: in the demo, “People with training outstanding” shows 9 people and 45 courses, and “Missing Mandatory Training” names the first three with what they lack. “Auto-enrol” creates all the enrolments and the sessions needed in one go, after asking you to confirm.

5. The other tabs and who sees what

«My Sessions», «Attendance» and «Certificates» show your own records as a learner. «Calendar» shows sessions by month, week or day. «Competencies» is the catalogue (“New competency”) and the list of those expiring in the next 30 to 365 days; «Matrix» crosses people and competencies (✓ valid, ! expired, — not held) and can be exported.

Only the owner, administrators and users with the training management permission see «Add Course»; scheduling, enrolling, taking attendance and issuing certificates need edit permission. If your role does not have the People and training module, you see “This module is switched off”: workers take the courses assigned to them in “My courses” and see their sessions and certificates in “My training”, in their own space.
