My team
«Team» is the list of users who sign in to the application: here you invite them, give them their role and their access to health data, and deactivate them. People in the workforce who do not sign in are in «Workforce».
1. The figures and the table
Four cards: «Total Members», «Active», «Pending» (invited users who have not activated their account yet) and «Inactive». The demo has 3 active members.
The table has «Name», «Email», «Position», «Role», «Status» and «Actions». The role shows Administrator for whoever administers the company and User for everyone else (viewer or editor). The status is Active in green, Pending activation or Inactive; MFA Enabled or Locked may also appear.
2. Invite someone
Click «Invite Member». In “Invite New Member” the “First name”, “Last name”, “Email” and “Role” are required: “Viewer” can only look, “Editor” records and changes data and “Admin” also manages people and settings. Leave “Send invitation email” ticked and click “Send Invitation”: the person receives an email to activate their account and shows as Pending until they do.
3. Change role, health access or deactivate
Under «Actions», the pencil opens the record to edit the details and the shield goes to “Edit roles”. On the same record, “Health surveillance access” decides who sees clinical records: occupational physician (full access), occupational nurse (read and write), aggregated data only (no clinical records) or no access to health data; each change is logged.
The red icon deactivates the account, which can then no longer sign in; it can be reactivated. A pending invitation can be resent or cancelled, and a locked account unlocked.
4. Who sees what
«Invite Member» needs edit permission. The icons on each row only appear for users you can manage: yourself and, if you are a company administrator, the other users in your company. If your role does not have the People and training module, you see “This module is switched off”.
