Absence

“Absence” lists the sick leave of the people in your company and the certificate on file for each one. Use it to see who is off, since when and whether the certificate is up to date. The cause of the absence is clinical information and never appears in this list.

1. Recording an absence

Press “Record absence”, choose the person and enter the first day. Leave the last day empty while the absence continues. When you save, the absence opens so you can add the certificate.

2. Adding the certificate

In the absence, press “Add certificate”. In the UK choose “Fit note (UK)”: say whether it reads “Not fit for work” or “May be fit for work” and, in the second case, tick the advice it gives (a phased return to work, altered hours, amended duties, workplace adaptations). In Ireland choose “Medical certificate (IE)” and tick whether it supports statutory sick leave (Sick Leave Act 2022). Write only what the person can do, never the diagnosis.

3. What the cards mean

“Ongoing” counts absences that have not ended. “Long-term” counts those that reached the number of days your company set. “Needs a certificate” counts ongoing absences with no certificate, or whose certificate period is over. Press a card to filter the list.

4. Ending the absence and the cause

When the person returns, open the absence and choose “Record the last day” under “More”. If a phased return is needed, choose “Plan return to work”. The “Cause” tab is only visible to clinical staff; what is written there is stored encrypted and every read is logged.
