Referrals to occupational health
In “My referrals” a manager refers someone they manage to occupational health and follows what comes back. The person is told and must agree first, and you receive only the work outcome, never medical details.
1. Referring someone
Press “New referral”, or “Refer to occupational health” in the menu of a person in My Team. Choose the person from the people you manage, pick the reason and describe what you have seen at work, in work terms and without guessing at a diagnosis. Add the questions you want answered and up to five files, then press “Send referral”. A person who cannot sign in cannot be referred, because they cannot give consent.
2. The person's consent
The person gets a notice and finds the referral in “Referrals to occupational health” in their own space. They read what you wrote and choose “I agree” or “I do not agree”. Until they answer the referral shows “Awaiting consent” and you can withdraw it. If they agree it reaches the occupational health team as a new case with an appointment request. If they do not, you are told only that it “Did not proceed”, not why.
3. Following your referrals
The cards at the top, “Awaiting consent”, “With occupational health” and “Outcome available”, filter the list. Open a referral to see its stage and what you sent. You see only the referrals you made yourself, and never the occupational health case, its notes or anything clinical.
4. The outcome
When the clinician sends the report you get a notice and the referral shows “Outcome available”. The “Outcome” tab gives the fitness for the job (fit, fit with adjustments, temporarily unfit, unfit), the adjustments or restrictions, the expected duration and the review date. Diagnoses, notes and test results are never included; they stay with occupational health. Where the person can review the report first (UK and Ireland) it can take up to 21 or 14 days to arrive. If the person does not release it you get a notice and the referral shows “Report not released”, with nothing more.
5. Reviewing a report before your employer sees it
When occupational health sends a report about you, it first appears under “Reports to review” in your referrals, with the fitness for the job, the adjustments, the expected duration and the review date. Your employer sees nothing yet. Where a review period applies (21 days in the UK, 14 days in Ireland, none in Spain) read it and choose “Approve and release”, “Ask for a correction” (say what should be corrected: occupational health reads it, your employer does not) or “Do not release” (your employer is told only that the report was not released). If you do not answer, in the UK the report is released when the period ends; in Ireland it is not, because release needs your consent. Each answer is recorded in the audit log.
