Vaccinations

Here you see who has the vaccines their job requires, and the occupational health team keeps each person's register. The company sees only each person's compliance status; doses, serology and declines are seen by the occupational health team only. The vaccines in the catalogue are those of the company's jurisdiction (Ireland, UK or Spain).

1. Compliance

The “Vaccinations” screen opens on the “Compliance” tab. The cards “Overdue”, “Due soon” and “Compliant” count the people and filter the list, which has the columns “Person”, “Status” and “Due date”. A person appears only if some required vaccine applies to their job position or biological risk. The person’s status is the worst of their vaccines: “Overdue” if one has no doses or a dose or booster past its date; “Due soon” if it falls due within 30 days or the series of doses is not finished; “Compliant” if nothing is needed now (a signed decline or exemption also counts, and so does a positive serology where it proves immunity). If nobody has a required vaccine, the screen says “No one has a required vaccine”.

Managers get an alert when someone is due soon or overdue, with the person and the status, never the vaccine.

2. Catalogue and requirements

With full access, “Catalogue and requirements” opens the required vaccines and the vaccine catalogue. “Add requirement” asks for the “Vaccine” and “Required for” a job position or a biological risk (those of “Risks and protocols”). Under “More”, “Add vaccine” creates one that is not in the catalogue: code, name, jurisdiction, doses, booster every so many months, legal reference and whether a positive serology proves immunity. The menu of each vaccine has “Deactivate” (or “Activate”): a deactivated vaccine stops counting. The menu of each requirement has “Delete”.

3. One person's register

With full access, pick the person under “Open a person’s register” (or click their name in the list) and “Vaccination register” opens. “Add record” records a “Dose” (number, batch and next dose or booster), a “Serology” (“Immune”, “Not immune” or “Equivocal”), a “Declined” or an “Exempt”. A decline or an exemption needs the date the worker signed the consent. “Notes or value” is for a figure such as the antibody titre, not for describing the person’s health. The menu of each record has “Delete”.

4. Who sees what

The occupational physician and the nurse with full access see and edit the register and the catalogue. Roles with aptitude access (health service direction, prevention technician) see only the compliance list, and figures for 1 to 4 people are withheld. The company administrator sees compliance and the note “You see compliance only…”, with no link to the register. Every reading of the register is logged.
