Work permits

«Work Permits» is where permits for hazardous work are requested, approved and closed: hot work, work at height, electrical work, confined spaces, lockout (LOTO) and others. Each permit has a number (PT-year-number) and goes through draft, approval, active work and closure.

1. What you see at the top

If any permit is awaiting approval, a yellow band says so (1 permit requires attention in the demo) and names each permit; click its name to open it. The cards count «Total», «Active», «Pending» (awaiting approval) and «Expiring within 24 h» (active or approved permits whose end date comes in less than a day).

Below are the search box and «Filters» (type, status and priority).

2. The table and the statuses

Columns: «Permit Number» (with the title underneath), «Permit Type», «Status», «Location», «Permit Holder» (with the contractor underneath, if any), «Dates» and «Actions», where the eye opens the permit.

The status is a coloured label: Active in green (work is under way), Pending Approval in yellow, Completed in green with a tick and Rejected in red. Other possible statuses are Draft, Approved, Suspended, Cancelled and Expired.

3. Request a permit

Click «New Permit». Choose the “Permit Type” and the “Priority”: each type brings its “Default pre-work checks” (risk assessment reviewed, PPE available, area inspected, emergency equipment accessible…). “Title”, “Workplace Center”, “Detailed location”, “Start Date/Time”, “End Date/Time” and “Permit Holder” are required.

If a contractor does the work, pick it in “Contractor company (CAE)” or type it in “Contractor company (manual)”. Tick the “Identified Hazards”, fill in the “Safety Measures” (PPE, precautions, emergency, fire, communication) and the “Assigned Workers”, and save with “New Permit”.

4. Approve, start and close

On a draft permit, “Submit for Approval” moves it to Pending Approval. Someone else approves it with “Approve” or rejects it with “Reject”: whoever requested it or holds it cannot approve their own permit, and can only “Withdraw request”.

Once approved, the pre-work checks must be completed; then “Start Work” appears and the permit becomes Active. With work under way, “Complete Work” closes it and “Extend” asks for more time, which is also approved. An active permit can be suspended and resumed.

5. Who sees what

«New Permit» and the actions on each permit need edit permission. If your role does not have the Work permits and lockout module, the screen says “This module is switched off”; in the demo that happens to the read-only user.

Permits that are expiring or awaiting approval also appear on the Operations Dashboard.
