CE marking of work equipment
Every machine in the register has its “CE marking”: Yes, No or Unknown. From that value, the year of manufacture and the date of placing on the market, the app opens the actions that apply, notifies the prevention managers and cites the act that applies to that machine.
1. What happens when the CE marking is saved
“Unknown” opens the action “Verify CE marking” (30 days). “No” on a machine from 1995 or later opens a major non-conformity and three actions: withdraw from use until resolved, request the CE marking and declaration of conformity from the manufacturer or supplier, and consider reporting to the market surveillance authority. “No” on a machine from before 1995 opens a non-conformity of its own and the check of adequacy to Annex I of RD 1215/1997, and what closes it is the machine's checklist (section 5).
The “Applicable act” comes from the date of placing on the market or, when there is none, from the year: Directive 89/392/EEC from 1995, 98/37/EC from 12 August 1998, 2006/42/EC from 29 December 2009 and Regulation (EU) 2023/1230 from 20 January 2027. When the year is the year of a change, both acts are cited.
2. Modifications made by the company
If you choose the company in “Modified by”, the form asks “Is it a substantial modification?”. If you answer Yes, the company is considered the manufacturer of the modified machine (Regulation (EU) 2023/1230, Article 3(16) and Article 18) and saving opens three actions: new risk assessment, CE marking and EU declaration of conformity.
3. Periodic checks (RD 1215/1997, art. 4)
In the edit form, set the “Periodic check interval (days)” and the “Next periodic check”. On the machine page, “Periodic checks” shows whether it is up to date, due soon or overdue; “Record check” saves the date, the result, who did it and the certificate, and schedules the next one. An unfavourable check opens a corrective action and does not move the date.
Every day the administrators and prevention managers are reminded of checks due within 30 days or overdue, and overdue CE marking actions are escalated to the prevention managers.
4. CE register, indicators, letters and import
On the equipment list: the “CE marking” filter and column, the indicators (without CE marking, not checked, open CE non-conformities and overdue adaptations) and the buttons “CE register (CSV)” and “CE register (PDF)” for the labour inspectorate. The same indicators are on the Operations dashboard.
On a machine without CE marking, “Letters” produces the request to the supplier and the report to the market surveillance authority as PDF; review them before sending. When importing equipment, the columns “CE marking” and “Year of manufacture” open the same follow-up as the form.
5. Machines older than 1995: checklist and adaptation plan
On a machine without CE marking built before 1995, its record shows “Checklist of the minimum requirements”: the 36 points of RD 1215/1997 (19 from Annex I.1, about the equipment itself, and 17 from Annex II.1, about its use), each with its BOE text. Every point is answered “Compliant”, “Not compliant”, “Not applicable”, “No evidence” or “Could not be seen”, with a note and a photo.
Not compliant asks for the adaptation measure, who is responsible, the deadline and the estimated cost, and with that it opens a corrective action on the machine and a line in the year's planning of the preventive activity (RD 39/1997, art. 8 and 9): that is where the money of the plan lives, and where “Plan (CSV)” and “Plan (PDF)” come from. When the point becomes compliant, the action and the line close on their own.
“Fill from the analysis” brings what a workplace analysis of that machine already answered, and never overwrites what you answered.
The non-conformity closes when every point is “Compliant” or “Not applicable”, the certificate of adequacy is attached and a named person signs the effectiveness check with its date. “No evidence” and “Could not be seen” are answers, but they do not let it close.
