Contractor portal

The contractor portal is where a contractor company uploads the documentation requested by the company it works for (coordination of business activities, CAE) and sees whether it has been approved. This guide is for the person at the contractor who looks after that documentation.

1. Accepting the invitation and signing in

The client company invites you by email (or passes you the link). The link is personal and expires after 3 days. When you open it you choose your password, at least 8 characters, and move on to the sign-in screen. If it says it is invalid or has expired, ask to be invited again.

In “Sign in to the contractor portal” type your email and password and click “Log in”. After five failed attempts in a row, access is locked for 30 minutes. If you forget it, “Forgot your password?” sends you a link that expires after 24 hours.

2. The dashboard: what is requested

At the top you have “Dashboard”, “Documents”, “My clients”, “Help” and “Logout”. “Compliance Summary” says “Action required” (and how many documents the company asks of you) or that you are up to date, with your contract and its term.

“Overall Compliance” is the percentage of required documents you have approved, with how many are “Approved”, “Pending”, “Rejected”, “Expired” and “Missing”. Below, the list of required “Documents” with their status (“Missing” if you have not uploaded it), your “Active Contracts” with the days left and the “Notifications”.

3. Uploading a document

In “Documents” (or “View all” from the dashboard) you will see the “Required” ones (TC1/TC2, civil liability insurance, risk assessment and preventive planning) and the “Optional” ones. Click “Upload document”, choose the “File” and the “Type”, check the “Name” and fill in “Valid From” and “Valid Until” if the document has dates. Click “Upload”.

The “Valid Until” date is used to warn you that it is expiring. If the document is renewed (a new TC, a renewed policy), upload the new version with the same type.

4. Approved, rejected or expired

Once uploaded it stays pending until the client company reviews it and approves or rejects it. You see the result in the portal (it does not arrive by email); if it is rejected, the reason appears: correct what it says and upload it again with the same type.

When a document passes its “Valid Until” date, it becomes expired and you have to upload a new one.

5. Alerts and questions

Under “Notifications” on the dashboard you see alerts about pending, rejected or soon-to-expire documents. You can mark them as read one by one or with “Mark all as read”; they disappear when what caused them is resolved.

If you are unsure which document is requested or why it was rejected, ask the person at the client company who invited you.
