Coordination meetings
In «Coordination Meetings» you schedule the meetings with the contractors working at your sites (RD 171/2004 Art. 11, as the screen states), keep the minutes and follow up the agreed actions.
1. What is on the screen
At the top, «Schedule Meeting». The figures are «Total Meetings», «Upcoming», «Past» and «With Pending Actions». «Filters» opens “All”, “Upcoming”, “Past” and “With Actions”.
Without meetings you will see “No meetings”. As soon as there are some, the table shows type, date, location, attendees and status; click a row to open it.
2. Scheduling a meeting
Click «Schedule Meeting». Choose the “Meeting Type” (“Initial”, “Periodic”, “Extraordinary” or “Closing”), the “Date & Time” and the “Location”, and write the “Agenda”: the AI button next to the field generates or improves it. Add each person with “Add attendee”. Click “Schedule Meeting”.
From a contractor's record, “Meetings” creates the meeting already linked to them.
3. After the meeting
Open the meeting from the table. In its details you record the “Decisions and Agreements”, upload the “Minutes Document”, set the “Next Meeting” and note under “Action Items” each action with its owner and due date. Those still open count in «With Pending Actions» and, once overdue, in “Overdue Actions” on the CAE Dashboard.
4. Why it matters and who can do it
The CAE Dashboard warns when no meeting has been held, and meetings count towards its compliance figure: 100 if one was held in the last 60 days, 50 if in the last 90, 0 otherwise.
Scheduling, editing and deleting require edit permission. CAE Coordination is, by default, visible only to administrators.
