Validation rules

The rules say what the AI analysis checks on each contractor document: required fields, formats, dates, matching data and quality. They only apply in «Document Validation»; manual approval in «Documents» does not consult them.

1. What is on the screen

At the top, «Load defaults» and «New rule»; below, the filters «All», «Active», «Inactive» and «Global» and the figures «Total rules», «Active», «Global» and «Error type».

With rules, the table shows the rule (name and code), the type, the documents it applies to, the severity, the priority, the status and the actions “Test Rule”, “Edit” and “Delete”. The status switch turns the rule on or off without deleting it.

2. Starting with the default rules

If the list is empty, click «Load defaults». Five rules are created: document not expired, minimum analysis quality, tax ID match, signature on the insurance policy and at least 30 days of validity. Review each one and switch off the ones you do not want to apply.

3. Creating a rule

Click «New rule». In “New rule” fill in “Rule Code”, “Name”, “Rule Type” (“Required Field”, “Field Format”, “Field Value”, “Field Match”, “Date Range” or “Quality Check”) and “Severity”: “Error (blocks approval)”, “Warning (requires review)” or “Info (notify only)”.

“Priority”: the lower the number, the earlier it is evaluated. Under “Document Types” and “Contractor Types” you narrow what it applies to; if you tick none, it applies to all. “Effective from” and “Effective until” limit the period. “Error Message” is the text the reviewer will see and accepts variables such as {fieldName}. Click “Save”.

4. Testing and maintaining

Before switching on a new rule, use “Test Rule” on its row to see what result it gives. Switching off or changing a rule affects the next analyses; documents already analysed keep their result.
