Risk information exchange
In «Risk Information Exchange» you record which of your company's risk assessments you have shared with each contractor and which risks they have reported to you, with their acknowledgement (RD 171/2004 Art. 7, as the screen states).
1. What is on the screen
At the top, «Share Risks». The figures are «Total Exchanges», «Compliant», «Pending» and «Acknowledged». «Filters» narrows the list.
Without exchanges you will see “No risk exchanges”. With data, the table shows the contractor, the status, the risks shared by your company, those received from the contractor, whether there is an acknowledgement and the date.
2. Sharing your risks with a contractor
Click «Share Risks». Choose the “Contractor”, optionally the “Workplace”, and tick under “Risk assessments to share” the assessments that affect their work (they come from your risk assessments). Add “Notes” if needed and click “Share Risks”.
From a contractor's record, the “Risk Exchange” tab opens this screen filtered to them.
3. Completing the exchange
Open the exchange to see both directions: the risks you have reported to them and the ones they report about their own activity, plus the acknowledgement of receipt. An exchange is “Compliant” when your company has shared its risks, the contractor has provided theirs and has signed the acknowledgement; if anything is missing, it stays “Pending”.
The percentage of compliant exchanges counts towards the “Compliance” figure on the CAE Dashboard.
4. Who can do it
Sharing and editing exchanges requires edit permission. CAE Coordination is, by default, visible only to administrators; in “Company settings › Modules” it can be opened to more roles.
